Your Programme Journey

This information is intended to de-mystify your journey through the Programme, and highlight the important admin milestones.

Trainees must complete a Form R when entering training and your National Training Number (NTN) will be issued by the HEE London GP School when your Form R is received. This form is available via your TIS Self Service (TSS) account which you will receive a login for at least 12 weeks before your start date. 

You will need to register with the RCGP as an Associate in Training (AiT). Please note membership fees are applicable at time of registration and each year (1st April). You will receive an email with the subject “Welcome to your new Trainee Portfolio” inviting you to log in to the Portfolio at Fourteen Fish. Start using the portfolio as soon as you start your GP training programme.

Progression through each stage of the training programme is subject to satisfactory performance review.

The Clinical Supervisors Report (CSR) is a short, structured report completed by your Clinical Supervisor (CS) in each post at the end of your non-primary care posts.

The Educational Supervisors Review (ESR) is a review by your Educational Supervisor (ES) every 6 calendar months, whether you’re training full-time or not. Please submit learning logs in well advance of your ESR and as agreed with your ES. It is unrealistic to submit many learning logs at short notice and this could be indicative of a time-management and professionalism issue at your review.

Educators notes in your portfolio are comments from your CS, ES or TPDs to make you aware of things that need doing or to make comments about your progress.

An Annual Review of Competence Progression (ARCP) is held at least once every 12 calendar months, and is carried out by an ARCP panel who checks evidence in the portfolio. The panel consists of a Panel Chair and two Programme Directors and/or Educational Supervisors. Trainees don’t usually need to attend unless there is some concern that an unsatisfactory outcome might be indicated. 

You will need to submit a Form R annually prior to each Annual Review of Competency Progression (ARCP). An email reminder will be sent to you each year before this is due, with a web link to complete the Form R electronically. This form is available via your TIS Self Service (TSS) account.

Your WPBA and portfolio must be complete at 9 months into your ST3 year. The Certificate of Completion of Training (CCT) is the certificate that you receive to indicate that you have completed training and are therefore eligible for entry onto the GP Register of the GMC. When you sign your final ARCP form and press the “Apply for CCT” button in your Portfolio, your application to the RCGP is automatic. The RCGP will make recommendation to the GMC to award a CCT.  The GMC will invite you by email to apply to the GP Register in the last four months of your training programme. HEE will update NHS England (NHSE) when GP registrars gain their CCT. You must inform Primary Care Support England (PCSE), part NHS England, that you have completed your training and want to change your Performer Type from GP Registrar to GP performer by completing an NPL3 form or doing this online https://pcse.england.nhs.uk/services/performers-lists/gp-performers-list-for-england/gp-registrars-completing-training/
